Auto populate table from cross-doc

Hi, all!

I have been searching for a possible solution to a small conundrum that I have regarding auto populating a table. The docs and pages are currently too many and too complex to share so I hope the attempt at an explanation below will provide a somewhat clear picture…

Ideal workflow:

  1. A user submits a form in Doc A that is added to a Participant table in Doc A
  2. The Participant table in Doc A is connected to Doc B using cross-doc
  3. A second table in the Doc B has columns that are related to columns in the Participant cross-doc table
  4. The second table in Doc B should now ideally auto populate rows from rows that are added to the cross-doc Participant table

Is this possible…?

The reasoning behind this solution is that the Participant table in Doc A is editable in Detail view by users who have submitted the form and is filtered so that the users can only see and edit their own submission. I found out that if I hide the sub pages I can publish the page with the Participant table and only that page will be visible. Doc B has too many pages that need to be visible to internal editors, which is why I ended up using cross-doc instead of collecting all pages and tables in one doc…
I can, of course, add rows manually in the second table in Doc B but it would be much better if there is a way to auto populate when rows are added during cross-doc refresh.

Hey @Kjell_Pettersen - Luckily automations work with Cross-doc tables. So you’d accomplish this by creating on automation on the cross-doc table in Doc B. When a new rows is added and/or row is updated in the cross-doc table in Doc B, the automation will fire and you can then populate/modify rows in the second table in Doc B.

Thank you, @Ryan_Hubbard1! I was hoping there would be an option without automations but you are right, your solution is probably the best way to make it work how I need it to work. Thanks again!

Hey @Kjell_Pettersen ,

Just out of curiosity: why were you hoping to do this without an automation? Automations are so incredibly powerful, I use them everyday to do these type of things.

Greetings,
Joost

Sorry, @joost_mineur, I have not checked the community in a while. I was hoping to avoid having to set up an automation that would only update the table once per hour but I realised that it worked fine once I managed to set up the automation properly.
