Overtime the number of docs grow and grow. Older docs, that you want/need to keep around but are no longer relevant to the day to day, create noise in doc lists and searches making it harder for users to navigate and find what they’re looking for.
While there is a Hide doc feature it has too many limitations (can’t hide doc you own, can’t hide doc in a folder, only applicable to you)
It would be amazing to have a feature that allows you to reduce non-relevant doc noise for all users but still allows the doc to be discoverable. An Archive Feature with this functionality would be great:
- Archiving, archives the doc for all users
- Archiving removes the visibility of the doc from all docs lists and folders
- Archived docs retain their permission/sharing settings
- The archived doc remains linked to the folder it is currently in
- The doc and it’s metadata (ex: tables) do not show in search results by default
- Discovering Archived docs
a. Within a folder you can select to show Archived docs (see bullet #3)
b. There’s an option on search to search archived docs
c. When search archived docs is turned off on search, at the bottom of the search results it displays something like “There are also 9 archived docs that have search results”. Clicking that will expand the list of archived docs that match that search. - You can change the folder that archived doc is in
- You can unarchive the doc
- Really awesome feature would be able to write rules for auto-archiving docs
